Description

IFA Administrator
Location: Birmingham / West Midlands
Package: Circa £30,000 basic + 20% bonus (c.£36,000 target package)

My client is a fast-growing, adviser-led wealth management business with a substantial UK and international footprint. The firm combines regulated financial planning with modern technology, specialist support and a strong client-service culture, and is continuing to expand through both organic hiring and acquisitions. As part of that growth, it is strengthening its administration capability across the West Midlands and is looking for an experienced IFA Administrator who wants both responsibility and a genuine long-term career path.
The Role
• Provide end-to-end administrative support to Financial Advisers and Paraplanners across a busy UK financial planning caseload.
• Manage client onboarding, letters of authority, account opening, new business processing, transfers, withdrawals and ongoing servicing.
• Liaise professionally with clients, product providers, platforms and internal teams, ensuring outstanding information and actions are progressed promptly.
• Prepare valuations, review packs, client documents and supporting information ahead of adviser meetings.
• Maintain complete and accurate client records, CRM data, file notes and documentation in line with FCA and internal compliance standards.
• Track cases through to completion, identifying delays or missing information and taking ownership of follow-up.
• Work closely within an adviser / paraplanner / administrator structure to help advisers spend more time with clients and less time on administration.
About You
• Around 2+ years of experience within a UK IFA, financial planning or wealth management administration environment.
• Good working knowledge of pensions, investments, platforms and the client review / new business process.
• Strong organisation, accuracy and written communication, with confidence managing multiple cases and deadlines.
• Comfortable using CRM, document-management and financial planning systems.
• A client-first, proactive approach and the confidence to take ownership rather than simply pass tasks on.
• Experience supporting internationally mobile, expatriate or US-connected clients in a UK planning environment would be useful, but is not essential.
Package & Progression
• Circa £30,000 basic salary plus a 20% performance bonus, taking target earnings to approximately £36,000.
• Support towards relevant professional qualifications and structured development.
• Clear progression into Paraplanning for technically minded administrators, with a longer-term route into Financial Advice for those who want it.
• Exposure to a growing client base, modern planning technology and a business investing heavily in its people, systems and UK growth.
